1. Set up your company and team
Create the departments and teams that reflect how your business operates. Assign employees to their groups, decide who can manage each area and keep broader permissions with people who need them. Five sales teams can have separate responsibilities within the same company.
Agree on who owns customer relationships, who receives requests and who approves a handoff. Giving every employee all permissions can make the first day appear simpler, but a deliberate access plan is easier to maintain as the team grows.
Review departments and permissions2. Bring in clean starting records
Prepare a CSV or Excel contact list with consistent names, emails and phone numbers. Match the spreadsheet columns to CRM fields and review duplicates and validation issues before confirming. Start with a small sample so your team can check the resulting records and initial notes.
After import, select an account owner and stage, then add the next task where one is needed. An imported contact is a starting record; it should not automatically become an outreach campaign.

Choose a process with a clear beginning and end, such as handing an accepted customer quote from sales to operations. Define the information the next employee needs, the person responsible, the due date and any approval that must happen first.
Use My Tasks for employee responsibilities and a calendar for scheduled time. A task due on Friday and a Friday appointment serve different purposes. Keep that distinction clear when setting reminders.

Company owners control external AI connections. Live AI, email delivery, calling, supported calendar connections and payments each require the relevant provider setup and validation. Background automation must also be configured before relying on unattended progression.
Employees review the exact proposed action before execution. For an email campaign, that includes the content and recipient list together. Optional inbound voice booking can use company-approved rules after the caller confirms the booking; enabling it is the company's choice.
Understand AI approvals5. Test normal work and exceptions
- Run a fictional customer through the full process, including the receiving employee's task list.
- Reject an approval once and verify that the action does not proceed.
- Check missing information, a delayed task, a duplicate import and a changed customer appointment.
- Confirm employees can see the files and records they need, and cannot open information outside their permissions.
- Verify provider delivery and failure handling before using a live connection with customers.
Once the process behaves as intended, agree on a small daily review: what is due, what is blocked and which decision needs a person. Use those findings to improve the workflow before adding more automation.
