Custom business records let companies organize information beyond standard CRM contacts, without forcing every process into the same shape.

- Define custom fields, required information, and workflow stages. Use text, number, date, dropdown, and yes/no fields.
- Link records to CRM customers and the employees responsible for the work.

Six industries. Tools you can choose.
Enable the optional industry toolkits relevant to your company. Each combines structured records with checks that flag issues for employee review, using information recorded in Revonaro.
- Insurance: track upcoming renewals, missing documents, recorded coverage changes, and commission discrepancies.
- Agencies and consulting: organize client engagements, additional scope requests, authorized hours, and approaching or exceeded delivery budgets.
- Construction and installation: track job stages, material readiness, promised completion dates, scope changes, and missing documentation.
- Property management: organize property cases and vendor assignments; flag overdue repairs, upcoming lease endings, and charges exceeding approved budgets.
- Wholesale and manufacturing: track supply orders, supplier confirmations, delivery delays, and discrepancies between received and invoiced quantities.
- Recruiting and staffing: organize placement records, onboarding documents, timesheet approvals, and differences between approved and invoiced hours.
- Checks rely on recorded information. Employees review findings before assigning work or making decisions; the toolkits support professional judgment.

Build the structure your company needs.
Create custom departments and teams under your business functions, from regional operations to separate sales or customer support teams.
- Assign managers and employees, manage reporting relationships, and apply supported department permissions.
- Supported company roles include Owner/CEO, Administrator, Director, Manager, Team Member, and Viewer.
- Invite employees, manage roles, suspend access, and delegate specific file, billing, and leaderboard responsibilities. Relevant authority changes require owner approval.
- Owners can delegate access to custom record management, industry tools, customer portals, planning, workflow management, and advertising imports. New capabilities respect underlying employee and department permissions.
- Account-management flows are built, but the current installation still requires its real company authentication connection.

Define progress for each department.
Authorized employees can build department leaderboards around the outcomes their team actually tracks.
- Choose the name, metric, unit, higher-is-better or lower-is-better ranking, and total, average, best, or latest aggregation.
- Set shared employee goals or individual overrides, with goal progress and goal-reached indicators.
- Compare daily, weekly, monthly, quarterly, yearly, all-time, or custom date ranges.
- Supported automatic metrics include completed employee tasks, newly assigned CRM accounts, successful logged outbound calls, and paid invoice value in the selected department and currency.
- Enter custom results manually or import CSV/XLSX with preview and duplicate-reference checks. Examples include onboarding tasks, response times, campaign clicks, or supplied marketing ROI.
- The company owner controls who can manage each department's leaderboards.

Make approved knowledge easier to use.
Connect documents and operating guidance to answers, projects, workflows, and work preparation.
- Upload supported documents, including PDF and Word, review extracted text and proposed fields, and identify missing information.
- Approve or withdraw documents as knowledge sources. Maintain company facts, procedures, FAQs, and operating guidance.
- Import guidance from pasted text or supported text files, and review suggestions before applying them.
- Use approved guidance for answers and preparation while preserving source references, supporting passages, and versions.

Share company files deliberately.
New uploads begin with restricted access. Choose the people who need each file.
- Share with selected departments, selected employees, or explicitly with the whole company.
- Company owners have access. Owner-designated file administrators can have company-wide file access.
- Access is checked again when documents are used in supported AI workflows.
- The file-administrator override applies to files; it does not grant access to employees' private lists or strategy conversations.
07 / 08
Keep authority and actions visible.
Supported controls help companies decide who can access information and what can happen with it.
- Company-scoped records, role and department permissions, individual visibility for supported private resources, controlled file sharing, and server-side checks for protected actions.
- Owner approval before supported external providers process company content, plus separate approval of the exact AI action or campaign.
- Review and execution history, version checks when plans or source records change, account suspension, and permission revocation.
- Privacy-request submission and owner review.
07 / 09
Draft notices, with versioned acknowledgment.
The legal area contains seven draft documents, with employee acknowledgment recorded in the first-login flow once authentication is connected.
- Privacy notice; terms of service; data processing addendum; AI and automation notice.
- Cookies and browser storage notice; providers and data destinations; security and incident handling.
- Acknowledgments record the current drafts and their versions. These are not finalized legal agreements or compliance certifications.
- Revonaro does not promise zero risk, guaranteed prevention of data leaks, zero provider retention, or completed legal compliance.

Find the right place to begin.
Guided first steps and everyday navigation help employees get oriented around their department and goal.
- Start with contacts, campaigns, appointments, or automations. Authorized administrators also get company setup guidance.
- Use consistent navigation, breadcrumbs, personal page shortcuts, and recent-workspace navigation.
- Related tools are grouped in expandable sidebar menus within Decisions, Revenue, Operations, Company, and Marketing. CRM records link to communications, promises, assistant searches, and portal tools.
- Find tasks and tools with Ask Revonaro and Cmd/Ctrl K. Search helps locate the right place; it does not approve or execute actions.
- Use contextual Show me how guidance and onboarding entry points on new pages, a practice exercise with fictional data, and recovery of unfinished contact and appointment drafts.
- Review supported saves and actions before proceeding.
PRIVATE COMPANY BILLING
Know what was paid. Know who can see it.
Owners/CEOs can review past subscription invoices, billing periods, itemized charges, paid amounts and remaining balances. Employee-addition fees appear separately from the company plan. Give selected employees view-only history access and revoke it when their responsibilities change.

A clearer next step.
Can a company create several teams in the same department?
Yes. Create the department and team structure that fits the business, such as separate sales teams or regional operations groups. Assign employees to the right group and give authorized managers the tools they need.
Can managers customize department leaderboards?
Authorized employees can choose metrics, goals and time frames for their department. Use supported activity already recorded in Revonaro, or import results when the measure comes from outside the platform. Choose a metric that reflects the team's actual responsibilities.
Who controls access to company files and AI providers?
File owners select permitted employees and departments. The company owner and designated employees with full file access retain their company-level access. External AI connections require company-owner approval before company content is sent to a provider.
