  • Keep permanent, unique CRM IDs alongside names, company, email, phone, title, stage, source, and tags. Search by contact details, or filter your own contacts and unassigned records. Individual contact pages show the assigned employee without exposing employee account lists.
  • Assign owners to accounts and leads. An active-service indicator identifies customers currently receiving your company's services.
  • Connect customer tasks, appointments, quotes, and invoices. Company boundaries keep each company's business records separate.
  • Open a clear customer record with Activity, Tasks, Appointments, Quotes & invoices, and Details. Read complete messages, dated notes and recorded calls in Activity, and use the Reassign button when a lead is eligible.
  • Log communications with the employee, date, direction, outcome, and details. Manual activity logging is supported; universal automatic email, call, or text tracking is not promised.

  • Review permitted CRM email, call, and text activity, including available voice-call metadata and shared email threads already imported through company workflows.
  • Import Gmail messages through an approved connection. Imported Gmail stays private until the employee explicitly shares selected content to CRM.
  • Review customer matching when a message could belong to more than one contact.
  • Use conversation context to prepare follow-ups and customer promises. CRM records link directly to related communications, promises, assistant searches, and portal tools.
  • This view brings recorded information together; it does not provide universal automatic tracking or a new SMS delivery service.

  • Record a commitment with a responsible employee and deadline. Connect supporting customer records, messages, documents, projects, or billing information.
  • Preserve the supporting excerpt and source version so employees can review what the commitment was based on.
  • Review and activate the promise before its linked employee task is created.
  • Track dependencies, overdue commitments, and completion evidence. Preserve cancellation reasons and history when a commitment changes.

A customer portal with a carefully chosen view.

Give each customer a focused workspace linked to their CRM record. Your team chooses what to share and previews the exact customer-facing content.

  • Select quotes, invoices, approved document content, appointments, and project status information. Create private access links with expiration and revocation controls.
  • Let customers accept eligible quotes with a typed name and recorded agreement. Preserve the accepted document version and acceptance receipt.
  • Present existing valid invoice payment links alongside the selected customer documents.
  • Receive service and appointment requests, assign them to employees, and provide replies and status updates. Appointment requests require employee review.
  • Optionally accept PDF and text submissions for employee review.
  • Internal CRM notes, appointment notes, attendees, and internal follow-ups are excluded from the customer view.
  • Portal access uses a private link. Quote acceptance is not an independently identity-verified signature service.

Keep account coverage accountable.

A defined inactivity rule and manager review help teams follow up on neglected leads without bypassing relationship ownership.

  • A reassignment request becomes eligible after 45 days without a completed outbound communication by the current owner. A new assignment starts a new inactivity period.
  • Unanswered attempts, internal notes, and inbound messages do not reset the inactivity period.
  • The responsible manager reviews the request. Authorized reviewers approve or reject it with a decision note; employees cannot approve their own requests.
  • Eligibility and permissions are checked again before ownership changes. Active-service customers are protected from reassignment requests.

Your priorities, without duplicate records.

Private favorite groups let each employee organize the shared CRM around their own work.

  • Create, name, and arrange multiple groups, then see them together on one page. These groups belong to the individual employee.
  • Browse 20 contacts per group page, with independent pagination for every group.
  • Prioritize the longest inactivity while accounting for ownership changes, and see the last recorded call.
  • Eligible inactivity is highlighted in yellow after 30 days and red after 40 days. Active-service customers are protected from reassignment warnings.
  • Favorites point to existing CRM contacts; adding a favorite does not duplicate the customer record.

Bring your contact list with you.

Review an import before it becomes part of your company's CRM.

  • Import CSV or Excel XLSX, select a worksheet, and match spreadsheet columns to CRM fields. Combine first and last names and import initial notes.
  • Preview validation issues and duplicate counts. Choose to keep existing records or fill missing fields, then confirm before contacts are added.
  • Duplicate protections also apply when the same import is retried.
  • Current limits: 5 MB and 10,000 contacts per import. Save older XLS files as XLSX or CSV first.

Can I import customers from Excel into the CRM?

Yes. Upload an XLSX or CSV file, match its columns to CRM fields, and review validation issues and duplicates before confirming the import. Each customer receives a permanent CRM ID. Current limits are 5 MB and 10,000 contacts per import.

How do customer follow-ups and account ownership work?

Create an assigned follow-up task from a customer record. The contact page shows its assigned employee and full dated activity. Company contacts remain visible according to permissions, while employees cannot browse another employee's assigned-account list. Reassignment requests follow the 45-day inactivity rule, require manager approval, and are blocked for customers receiving active service.

Does CRM activity include the full customer message?

Open an activity to read the complete recorded message or note, who logged it, and when it happened. Calls, emails and texts can be logged manually. Automatic delivery or importing of messages depends on the specific approved connection and its setup.
